Username and Password

What are the specifications for the username for eBusiness?
The username has no required specifications.

What are the specifications for the password for eBusiness?
The password must be at least 7 characters long with one number.

Personal Information

How can I change my employer information on my record?
Once you have initially updated your profile you cannot change the employer on your record. You will need to log into your daughter(s) account and change the information.

If you do not have a daughter, you will need to contact cessupport@girlscoutcsa.org to have it changed.

What if my school is not listed in the dropdown in eBusiness?
Choose “other” and then send an email to cessuport@girlscoutcsa.org informing them of the school the girl is currently attending. The subject line should read: School Information.

What if my employer is not listed in the dropdown in eBusiness?
Choose “other” and then send an email to cessupport@girlscoutcsa.org informing them of the company you work for. The subject line should read: Employer Information. When providing your employer information, please submit a full employer name with no abbreviations.

Forms

What if we don’t have access to online to use eBusiness?
Pre-printed registration forms will be available for this year (in your packets that will be distributed at the April Service Unit meetings) only. GSUSA is only providing councils with limited blank forms. The forms will arrive at the Council in April.

How do we get blank forms?
Each troop will be provided (attached to this newsletter) with writeable forms (forms that can be completed on the computer and printed). These can also be located on the website starting in May.

Can we complete the writeable (forms that can be completed on the computer) forms and email them?
No, the forms can be completed on the computer and must be printed and sent to the Council or turned into the troop leader. The forms are not PCIDSS Compliant (Payment Card Industry – Data Security Standards). Online systems are required to be PCIDSS Compliant which means all personal data is secured. Sending it through email is not an online system, therefore, personal data is not kept secure.

Why do we have to give the troop leader a signed copy of the registration form if the girls/adults are being registered online?
Anyone who is not the parent/guardian, must have a parent signature giving permission for their daughter to be registered in Girl Scouts.

What happens to the copies of the registration form if the girls/adults are registering online?
The leader will keep the white copy and the parent will keep the yellow copy. The leader will keep the white copy until the next membership year. These must be readily available to council staff.

Can we use the forms we used last year?
No. They do not have the new information and if turned in to a Council service center instead of using eBusiness, it would prohibit the data entry staff from entering the registrations in a timely manner.

How does the leader get copies of the registration form (in order to have up-to-date information) a member sends their registration form directly to a Council service center?
The parent can give the yellow copy that she/he has retained to the leader or the leader can always have current information by logging into eBusiness and looking at the information.

What information is considered a hard stop (cannot proceed unless completed)?
All information with an asterisk.

Early Bird

When is early bird registration?
Starting May 1st – July 14th. This is a change this year. It normally ends on June 30th.

Will there be early bird incentives for registering early?
Yes. Please see the flyer for all the details.

Who will have access to eBusiness?
For early bird, the Council is implementing it on a troop level. Troop leaders will register members of their troop.

I am the assistant leader of the troop, how can I get access to Troop Management?
Troop Management is only available to the volunteers who have an 01 (Leader) position code.

The leader would have to give her/his login information to the assistant to have access to Troop Management.

Why are we only implementing eBusiness at the troop level?
We have been informing troops that participate in product sales, their proceeds should pay for the girls membership dues ($12.00) for the next membership year.

In order to access eBusiness you must have a customer record and valid email address in Personify. The leader can update the girls and parents information at the same time. Once this is done, then the parents can be given access to eBuisness. This will make it easier for parents once we implement online registration for programs and trainings.

Leaders/Positions Codes

What is required for a troop leader to get access to eBuisness?
The leader must be in active status, listed as a leader and have a valid email address in Personify. This is an additional reason we are completely updating the volunteer database.

Why does my status show a 14 code in pending status once I register?
All adults when registering online to become a member will have a default position of 14. This will also be in active status.

How do I change the position of 14 to a different position?
All adults can self report a position code online. However; this position will be in pending status until approved by the Volunteer Services team.

What is required in order to approve my volunteer position?
There must be a volunteer application on file and a background check conducted. The background check cannot have any results found in regards to the items found in the Volunteer Policies.

How long does it take to have my volunteer position approved?
It depends on when the volunteer application is received and what the results are on the background check.

How will I know if my position is approved?
You can login to eBusiness, if your position is approved, your status will be active instead of pending.

What information can I access related to the troop when I am in pending status?
You will not be able to access any information for the new year beginning in October until your status is active. You will be able to access information for the current membership year if you are an 01 and in active status.

I am a current lifetime member and registered as an individual, how do I make sure my position code is changed each year?
The lifetime member would self-report the position for the appropriate year.

Who will the volunteers/troop leaders/parents contact regarding help with eBusiness?
The CES team. This team can be reached via email at cessupport@girlscoutcsa.org or by calling 800-474-1912 and asking for CES support.

What does the CES stand for in CES team?
Council Enterprise System Team – The team that makes up cessupport and enters all data related to membership, training, programs, awards, resident camp and volunteer applications.

Miscellaneous

Will we get a membership card with eBusiness?
Yes, you now have the capabilities to print your own membership card online.

What happens if a girl/adult was registered in my troop last year but wants to register with a different troop?
The girl/adult will register with the same troop as last year and then send an email tocessupport@girlscoutcsa.org and request the girl/adult be transferred to the correct troop. The subject line should read: Member Transfer.

What happens if the leader does not register the girls/adults prior to September 30th?
The adults and parents/guardians of the girls will have to complete the registration online or submit a paper form to a Council service center.

Why does my registration show Unpaid?
New members always have a position as “Unpaid” for 24 hours after they are registered, even if the $12.00 has been paid. The “Unpaid” position will drop off automatically after 24 hours. If the member is a girl, she should also have a position of Girl Member and adults should have a position code of 14. If the members only show the position of “Unpaid”, then the payment wasn’t processed.

Error Messages

I received an error message which contains “non-USPS validated address”, what does this mean?
The Council database does not have a valid United States Postal System address. This is a hard stop (will not allow you to continue until corrected). Contact cessupport@girlscoutcsa.org or by calling 1-800-474-1912 and asking for the CES team.

I received the following error message “password must contain at least 7 characters made up of a combination of special characters, letters, & numbers”. What does this mean?
The password you are creating does not have at least 7 characters and a number.

System Messages

How will I know if I am validated as a customer?
You will receive a message that says the following if you are validated as a customer:

“We have sent you information on activating your account to the email address you provided. Please check your email and follow the instructions in the email message.”

You will receive the message “customer not found” if you are not validated as a customer.

What do I do if I receive the above message that I have been validated as a customer?
Open the email you received from “Admin” with a subject of “Your Girl Scouts Account” and you will see the following message:

“Thank you for activating your Girl Scouts account! To complete the process and choose a username and password, please click the link below.”

What happens once I click the link and create my profile?
You will see a message that says the web account has been successfully created.

You will also receive an email from “Admin” with a subject of “Girl Scouts Profile Created” confirming your profile has been successfully created. This is the message:

Hello!

This email confirms that a profile has successfully been created for you with Girl

Your user name is (what you created as your username)

Follow the link below to access your profile, manage your membership, register https://gsusa.ebiz.uapps.net/vp/Default.aspx?pid=59 =====================================

I went to the eBusiness site and the page had a message similar to “this page is currently down for maintenance”. What does this mean?

The eBusiness site is down for maintenance. Information is being changed or updated. Check the site again in a few hours to see if the maintenance issue has been resolved and you can log in.

What is the message I receive once I become a member to Girl Scouts?

What if I don’t receive an email welcoming me to Girl Scouts once I pay my $12.00 membership dues?
Sometimes these type emails are sent to the spam folder. Please make sure to check it first. If it is not in your spam folder, contact cessupport@girlscoutcsa.org.

Why does my adult registration form have me listed as Asian?
There was a glitch in the printing of the pre-printed registration forms. Please make sure to correct the racial/ethnic information.

I am a current lifetime member and a troop leader, how do I register myself and my troop members online?
If a lifetime member is a leader for a troop in the current year, she/he can renew the annual (non-lifetime) troop members through Troop Management and then self-report the leader position in the troop for the future year. Lifetime members are registered through the expiration date listed on their customer record.

Rosters

How will individuals be listed on rosters for the service unit?
Individual members, who were previously registered with a “10” at the beginning and then last three numbers referring to the service unit, will now be registered directly to the service unit.

How will I know who the girls and adults are on the waiting list (girls and adults previously registered in the troops beginning with a 30 number)?
They will be registered to the service unit (example, SU210) and will have a specific code that will set them apart from girls/adults registered individually.

On previous rosters, as an adult my position was MBR why is my position now a 14?
Position 14 is the default the membership database assigns to adults.

Money

What are the payment methods for using eBusiness?
Credit/debit cards are the only forms of payments.

What if a girl needs financial assistance?
The parent would need to complete the financial assistance form located on our website along with a registration form and send them both to a Council service center. The parent will keep the yellow copy.

What if the troop is not paying the $12.00 from troop funds?
More information will be coming on how an adult can register and how a parent/guardian can register their daughter. This information will arrive prior to May 1st (the start of early bird).

I noticed there is a place where I can make a donation while registering, where does the donation go?
The donations given online in conjunction with your membership online payment is designated to the FROGS (Family and Friends of Girl Scouts) campaign. This money is used to provide financial assistance to girls.

How can I redeem the membership voucher a girl earned in the cookie program?
The voucher and registration form will need to be sent to a Council service center for processing.
